Procurement

As the Town of Gravenhurst is primarily funded by taxpayer dollars, we must buy goods and services in a fair and transparent way. Therefore, we have a procurement policy that we must follow when we buy things.

How Do I Sell my Goods and Services to the Town?

We post all purchases over $25,000 on the Bids and Tenders page of our website and employ an open bidding process to choose which seller we buy from.

You can bid on these purchases by doing the following:

  1. Create a new or login to your existing Bids and Tenders account.
  2. Purchase an annual or per-bid subscription.
  3. Register as a plan taker for the bid you are interested in and download the bid documents.
  4. Watch for any addenda that are posted during the bidding period. You will have to print these out, sign them, and include them in your bid submission.
  5. Submit your bid package in a sealed envelope labelled with the tender name and number to the Finance counter at 3-5 Pineridge Gate, Gravenhurst, ON P1P 1Z3.

Important Reminders

Some reminders about the competitive bid process:

  • Make sure you submit any questions you have during the bidding period on the Question Submission Template.
  • Make sure your bid package has all of the items listed under the Submission Checklist in the bid document.
  • Make sure you have the insurance coverage required in the bid document.
  • Make sure you are eligible for clearance certificates with the Workplace Safety and Insurance Board.
  • If you are the successful bidder, we will pay you by direct deposit. Our payment terms are net 30 days, and we issue payments on the 15th and 30th/31St of every month. Make sure you submit your invoices at least 7 days prior to these dates.

Buying Groups

The Town of Gravenhurst often participates in cooperative buying groups. For 2024, we intend to participate in one of more procurements conducted by:

  1. Muskoka Parry Sound Public Purchasing Group (MPSPPG). Bid opportunities will be posted on the tendering website of the public agency who is the lead on the respective procurement and may include Bids and Tenders and Biddingo.
  2. Ontario Education Collaborative Marketplace (OECM)
  3. Local Authority Services (LAS)
  4. Ministry of Government Services (MGS)
